Privacy Policy for usage of RegFox, TicketSpice, GivingFuel, RedPodium and Grouprev – software products made by Webconnex LLC

This Privacy Policy applies to Clients and prospective Clients of Webconnex LLC and its products RegFox, TicketSpice, GivingFuel, and RedPodium. It governs information collected through our websites, software platforms, mobile applications, and any communication with Webconnex, including email, chat, phone, text messaging, and support interactions.
This Policy applies only to individuals or organizations who use or are considering using Webconnex as a service provider. It does not apply to event attendees, ticket buyers, registrants, donors, or any individual submitting information on a page created by a Webconnex Client. Those individuals are subject to the policies of the Client whose page they are using and are responsible for reviewing and complying with those policies. Webconnex does not use, sell, share, or solicit attendee or donor information. We process that information solely as directed by the Client.
This Policy does not apply to information collected on third-party websites or services that Webconnex does not own or control, even when accessed through our Services. Individuals should review the privacy policies of those third party tools to understand how information is collected and used.
Webconnex values privacy and safeguards the information provided to us. This Policy explains what information we collect, how we use it, how it is protected, and the choices available to individuals who interact with us. If you have questions, please see the “How to Contact Us” section below.
For clarity throughout this Privacy Policy, the following terms have the meanings below. These definitions are consistent with how Webconnex uses these terms across our Services.
Webconnex acts as a data processor on behalf of its Clients. Clients serve as the data controllers for all Customer Data collected through pages, forms, or workflows built using Webconnex products. This means Clients decide what information they collect, how long they retain it, how they use it, and the lawful basis for collecting it. Webconnex does not determine or influence what information Clients choose to collect from their attendees, donors, registrants, or ticket buyers. Customer Data always belongs to the Client, not Webconnex.
Webconnex processes Customer Data only as instructed by the Client and solely to provide, maintain, secure, and support the Services. We do not sell, share, trade, or use Customer Data for advertising, marketing, or promotional purposes. We do not cross-market events or organizations, do not solicit attendees or donors, and do not contact Customers except when a Client specifically directs us to or when required by law. Customer Data is never combined with information from other Clients, and Webconnex does not create behavioral profiles, perform targeted advertising, or infer characteristics about Customers.
For Clients subject to the General Data Protection Regulation (GDPR), Webconnex operates as a processor under Article 28. Clients act as controllers and are responsible for establishing a lawful basis for collecting Customer Data, providing required notices, and responding to data-subject requests. Webconnex processes Customer Data only according to Client instructions, maintains appropriate security measures, ensures personnel handling data are subject to confidentiality, and supports Clients with compliance needs when feasible.
These principles also apply under the CCPA/CPRA, the Colorado Privacy Act, the Virginia CDPA, and other global or state privacy laws. Webconnex does not sell or share Customer Data, does not use Customer Data for marketing, does not infer characteristics, does not engage in cross-context behavioral advertising, and does not use Customer Data to train external AI models.
Webconnex uses trusted third parties to support hosting, infrastructure, communications delivery, fraud detection, security, and similar operational needs. These subprocessors act only on Webconnex’s behalf and are bound by written obligations to protect data in a manner consistent with this Privacy Policy. Webconnex maintains oversight of its subprocessors and uses them only when reasonably necessary to perform the Services.
Because Clients control Customer Data, they are responsible for determining what information to collect, obtaining any required consents, providing appropriate disclosures to their Customers, complying with applicable privacy laws, responding to Customer access or deletion requests, and configuring their forms and settings in a legally compliant manner. Clients are also responsible for securing their own accounts, credentials, and internal access controls.
Webconnex does not monitor or evaluate what fields Clients create, how they choose to use Customer Data, or whether they collect information appropriately. All Customer rights requests must be directed to the Client who collected the information.
All Client Data is stored on systems located within the United States. Webconnex does not transfer Client Data outside the United States unless a Client specifically uses a feature that requires such transfer, and then only with appropriate legal safeguards.
Webconnex does not use Customer Data for any purpose other than delivering the Services. We do not sell or share Customer Data, do not market to Customers, do not engage in cross-context behavioral advertising, do not combine multiple Clients’ data, do not profile Customers, and do not permit Customer Data to be used to train external AI systems. Webconnex does not contact attendees, donors, registrants, or ticket buyers except when instructed by the Client or when required to comply with applicable laws.
Webconnex collects information in several ways when Clients, Users, Visitors, or prospective Clients interact with our Services. The information collected helps us provide the Services, support our Clients, and improve our products. The legal basis for collecting and processing information is to fulfill our contractual obligations under the Terms of Service, pursue legitimate business interests, comply with legal and/or compliance requirements, and obtain consent when appropriate.
When a Client signs up for an account, requests a demo, seeks support, or otherwise communicates with Webconnex, we may collect personal information such as name, business name, email address, mailing address, phone number, payment information, and any other details voluntarily provided. This includes interactions through email, phone, support tickets, text messaging, or other communication channels.
We also collect information when Customers submit details to a Client through pages created using Webconnex products. This may include name, postal address, email address, phone number, or any additional fields configured by the Client. This information is collected on behalf of the Client and belongs to the Client.
Webconnex does not sell, rent, trade, or share any personal information with third parties for marketing, promotional, or advertising purposes. We do not cross-market, solicit, advertise, or promote events, causes, campaigns, or any other offerings to attendees, donors, registrants, or ticket buyers who interact with pages built by our Clients. We do not use Customer information to market other events or organizations that use our platform.
Webconnex also does not share mobile phone numbers, email addresses, or similar contact information with third parties or affiliates for marketing or promotional use.
Our role is limited to processing information as instructed by the Client, and not to use Customer information for Webconnex’s own marketing or sales efforts.
When Visitors, Customers, or Users access the Services, Webconnex may automatically collect information from the device used, including IP address, device identifiers, browser type, operating system, pages viewed, referring URLs, interactions with content, and timestamps. We may use technologies such as cookies, clear gifs, web beacons, and log files, including email engagement indicators such as opens and link clicks.
Webconnex also uses session logging, behavioral analytics, and session monitoring tools to detect fraud, maintain platform security, diagnose errors, and understand how the Services are used. These tools may record navigation patterns, clicks, performance data, and interactions within administrative areas. Monitoring is used only for operational, diagnostic, and security purposes and never for advertising, marketing, or behavioral profiling.
Webconnex uses Google Analytics for aggregated usage reporting and does not receive personally identifiable information through these analytics tools. If a Client enables third party tracking technologies such as Meta Pixel, those tools are controlled solely by the Client and Webconnex does not control such technologies and has no liability to a Client or attendee over such technologies.
Clients and Users may upload or store Client Data, which may include Customer Data. Client Data is controlled by the Client, and Webconnex processes this data solely on the Client’s behalf. Webconnex does not access Client Data except as authorized by the Client or as required to provide the Services, ensure security, or comply with legal and/or compliance obligations.
Each Client is responsible for notifying its Customers about the information it collects, how it uses that information, and the legal basis for doing so.
When individuals interact with Webconnex through email, phone, text message, chatbot, or other communication methods, we may collect the content of the communication along with metadata such as time, date, IP address, and any supporting documentation provided. This information is used only to respond to inquiries, provide support, improve our ability to serve Clients, and maintain proper records.
Webconnex does not share mobile numbers or communication details with third parties for marketing purposes and does not use communication information to market to Customers or attendees.
Webconnex uses the information we collect to operate, support, and improve the Services. We do not use Customer information for our own marketing, and we do not solicit or contact attendees, registrants, donors, or ticket buyers. Information is used only in ways described in this Policy or as required by law.
Most information collected through the Services is processed on behalf of Clients. This includes Customer Data submitted on registration pages, donation forms, ticketing pages, and other Client-created workflows. Webconnex uses this information only to deliver the Services requested by the Client, process payments, support the Client, maintain accurate records, and ensure proper functionality of the platform.
Clients may use Webconnex tools to communicate with their own Customers by email or text message. The content, timing, and purpose of these communications are determined solely by the Client. Webconnex does not initiate contact with Customers and does not market to them.
Webconnex does not combine Client Data with information from other Clients, does not profile Customers, and does not use Customer Data to infer characteristics about a person. Copies or backups of Client Data are maintained only as needed to operate the Services or comply with legal and/or compliance requirements.
Webconnex may use or disclose information when required to comply with applicable laws, regulations, investigations, subpoenas, court orders, or to respond to lawful requests from governmental authorities. We may also use information to identify, prevent, or respond to situations involving potential fraud, violations of our Terms of Service, harmful or illegal behavior, threats to public safety, or misuse of the Services.
If Webconnex undergoes a merger, acquisition, restructuring, or similar transaction, personal information may be transferred as part of that event, consistent with applicable law and with the same privacy protections described in this Policy.
Webconnex may use information to communicate with Clients and prospective Clients about their accounts, provide administrative notices, send service updates, respond to support requests, deliver onboarding information, schedule demos, or provide product-related announcements. Individuals can update their communication preferences or opt out of promotional messages at any time. Administrative or transactional messages may still be sent when necessary to operate the Services.
Webconnex does not use Customer information to send marketing messages and does not contact attendees, donors, ticket buyers, or registrants.
We use information, other than Client Data, to operate, maintain, and improve the Services. This includes diagnostics, performance analytics, fraud detection, load balancing, monitoring of system health, and responding to errors or support inquiries. We may analyze usage patterns to verify information, maintain platform reliability, prevent unauthorized access, and ensure appropriate security measures. We may also use information to generate aggregated or anonymized insights that help improve the Services without identifying any individual.
When Webconnex shares information with trusted service providers to help deliver the Services, those providers are required to use the information only for the purpose of performing their work and to protect it according to the commitments in this Policy.
Webconnex uses information to understand how Clients and Users engage with the Services, identify areas of improvement, and develop new features, enhancements, and tools. When this work requires analyzing Client Data, we do so only in aggregated or anonymized form and never in a way that identifies Customers. This helps us improve reliability, performance, usability, and functionality across all Webconnex products.
Webconnex provides support through automated tools, including AI-powered chat features. When individuals interact with these tools, we may process the information provided, such as name, email address, account details, or context needed to respond.
Information entered into AI-powered tools is used only to assist with support, improve accuracy, enhance the user experience, and improve internal product quality. Webconnex does not use this information to train external third party AI systems and does not share personal information from AI interactions with third parties for marketing or promotional purposes.
All information processed through AI support tools is treated consistent with this Privacy Policy.
We retain personal information only as long as necessary to operate the Services, fulfill contractual or legal obligations, resolve disputes, maintain security, and enforce our agreements. Retention times vary depending on the nature of the information, applicable laws, and the needs of the Client. If a Client relationship ends, Webconnex may retain certain records as required by law or internal policies, after which information will be securely deleted or anonymized.
Clients may request deletion of their Client Data, and Webconnex will honor those requests to the extent permitted by law and contractual obligations.
Webconnex maintains administrative, technical, and physical safeguards designed to protect the security, confidentiality, and integrity of the information entrusted to us. These controls follow generally accepted industry standards and apply to both Client Account Data and Client Data that we process on behalf of our Clients.
All data transmitted through the Services is encrypted in transit using industry-standard TLS protocols, and all data stored within our systems is encrypted at rest. Webconnex uses additional application-layer security controls, including role-based access restrictions, credential and session management, device and network protections, and audit logging. Access to production systems is limited to authorized personnel who are bound by confidentiality obligations, and all access is logged for accountability.
To maintain platform reliability and security, Webconnex uses session logs, behavioral analytics, automated fraud-prevention tools, and system monitoring. These measures help us identify abnormal patterns, detect unauthorized access, maintain system performance, and diagnose technical issues. Monitoring is used only for operational, diagnostic, and security purposes and is not used for advertising, profiling, selling, contacting potential clients, or unrelated commercial use.
All Client Data stored by Webconnex is hosted on servers physically located in the United States. We do not transfer Client Data outside the United States except when explicitly directed by the Client or when a Client uses a feature that requires such transfer, and only with appropriate legal safeguards in place.
Webconnex does not access Client Data except when necessary to provide the Services, resolve support requests, maintain platform functionality, enforce our Terms, comply with legal or compliance requirements, or support fraud-prevention and security measures. When access is required, it is performed only by authorized personnel and is logged.
Webconnex uses industry-standard protections to secure information, but no method of electronic transmission or storage is completely secure. Any transmission of information through the Services is at your own risk. If Webconnex becomes aware of a security incident affecting our systems, we will notify affected Clients as required by law and provide the information necessary to understand and/or respond to the event as necessary.
Clients are responsible for securing their own accounts and internal environments, including the protection of passwords and administrative credentials, the proper configuration of account settings, and the security of the devices and networks used to access the Services. If unauthorized access occurs because a Client or its personnel fall victim to phishing, credential theft, social engineering, malware infection, misconfiguration, or similar causes outside of Webconnex’s control, any resulting misuse, diversion of funds, or exposure of Customer Data is the sole responsibility of the Client.
Webconnex is not responsible for claims, losses or damages arising from account compromise caused by insecure passwords, credential sharing, compromised devices, employee misuse, unauthorized internal access, or vulnerabilities originating in third-party systems, integrations, plugins, email providers, or networks chosen by the Client.
If a Client account is compromised and Customer Data is accessed, stolen, or misused, the Client is responsible for complying with applicable breach-notification laws. This includes determining whether notification is required, identifying affected individuals, issuing notices, coordinating any remediation, and addressing legal obligations. Webconnex will reasonably support the Client in understanding the event but does not provide legal advice, draft notices, manage communications, or reimburse costs associated with Client-side breaches.
Webconnex remains responsible for breach notifications arising from incidents within Webconnex-controlled systems, in accordance with applicable law.
Any breach, vulnerability, or security failure arising from third-party systems selected or managed by the Client including CRMs, email platforms, integrations, analytics tools, payment gateways, plugins, or external applications falls outside of Webconnex’s control. Webconnex is not responsible for security incidents or data exposure originating from technologies, vendors, or systems that the Client independently chooses to connect to or use alongside the Services.
Webconnex respects the privacy rights of individuals who interact with our Services and provides reasonable access to the personal information supplied directly to us. Individuals may request access to, correction of, or deletion of personal information they have provided to Webconnex. These requests may be submitted using the methods provided in the “How to Contact Us” section. We will evaluate and respond to valid requests in accordance with applicable law and our internal policies. When information is updated or removed, changes may take a reasonable period of time to propagate across active systems, and some information may be retained for security, legal, or fraud prevention purposes.
This section applies only to information provided directly to Webconnex. Customer Data submitted through a page created by a Client is controlled entirely by the Client. Webconnex cannot modify, delete, or access Customer Data unless specifically instructed by the Client. Requests related to Customer Data must be directed to the appropriate Client, and Webconnex will act on Client instructions to the extent permitted by law. Webconnex will not provide or release Customer Data upon requests by third-parties unless compelled by a properly issued and served legal order.
Webconnex uses cookies and similar tools to operate and secure the Services, authenticate users, maintain sessions, prevent fraudulent activity, and improve the user experience. Essential cookies are required for core functionality. Other cookies may be limited or disabled through browser settings, although doing so may affect certain features.
Webconnex uses analytics tools only in aggregated form and does not receive personally identifiable information through these tools. Individuals may opt out of Google Analytics by installing the Google Analytics Opt-Out Browser Add-On at: https://tools.google.com/dlpage/gaoptout
Individuals may also control personalized advertising settings through Google Ads Settings at: https://www.google.com/settings/ads
Webconnex does not use cookies or analytics for marketing to Customers or attendees. If a Client enables additional tracking tools such as Meta Pixel on their own pages, those tools are controlled solely by the Client and are subject to the Client’s privacy practices.
Individuals may update or change their communication preferences with Webconnex at any time. Promotional emails from Webconnex may be discontinued by using the unsubscribe link included in those messages or by contacting us. Administrative or transactional messages necessary to operate the Services may still be sent.
Individuals who receive text messages from Webconnex may opt out at any time by replying STOP or by contacting us using the information provided in the “How to Contact Us” section.
Webconnex does not use Customer information collected by Clients to send marketing messages and does not contact attendees, donors, registrants, or ticket buyers. Webconnex also does not share email addresses, mobile numbers, or other communication details with third parties for marketing or promotional purposes.
Requests to stop receiving communications initiated by a Client must be directed to that Client. Webconnex is not responsible for the content or timing of communications made by a Client.
When Customer Data is submitted on a page created by a Client, all privacy rights must be exercised through the Client who collected the information. Webconnex acts solely as a processor and cannot fulfill access, correction, deletion, or consent withdrawal requests directly. When instructed by a Client, Webconnex will update, restrict, or delete Customer Data as directed unless retention is required for legal, security, or operational reasons.
The Services may contain features, integrations, or links that allow Clients, Users, or Visitors to access websites, applications, or tools operated by third parties. Any information provided on third party sites is submitted directly to those third parties and is subject to their own privacy and security policies. Webconnex does not control these third party providers and is not responsible for their content, practices, or handling of personal information.
When a Client chooses to enable a third party integration, tracking pixel, plugin, or external service within their Webconnex account or on a page they created, any data collected by that third party is governed solely by the Client’s configuration and the third party’s policies. Examples include payment processors, CRM tools, analytics products, marketing platforms, messaging services, and advertising technologies such as Meta Pixel or Google Tag Manager. Webconnex does not manage or monitor data collection performed by such tools.
Webconnex does not sell, share, or transfer personal information to third parties for marketing or promotional use. We also do not provide attendee, donor, registrant, or ticket buyer information to third parties for advertising or solicitation. Any data shared with a service provider is limited to what is necessary for that provider to perform work on behalf of Webconnex, and those providers are required to protect the information and use it only as instructed.
Individuals should review the privacy policies of any third party services they interact with, especially when choosing to submit information or enable integrations. Webconnex encourages Clients to understand and disclose their own use of third party tools to Customers and to obtain any consents required under applicable law.
The Services are intended for adults and are not directed to children under 18. Webconnex does not knowingly collect personal information from anyone under 18 without verified parental consent, and individuals under 18 should not use or access the Services.
If we learn that information was collected from a minor without proper consent, we will delete it. Parents or guardians who believe a minor has provided information to Webconnex may contact us using the details in the “How to Contact Us” section.
This section applies only to information provided directly to Webconnex. Customer Data collected by Clients on their own forms is controlled solely by the Client, and Clients are responsible for complying with laws that apply to information they collect from minors.
This section applies to California residents and supplements the rest of this Privacy Policy. It describes how Webconnex collects, uses, and discloses personal information in accordance with the California Consumer Privacy Act (CCPA) as amended by the CPRA. These rights apply only to the limited information Webconnex collects directly from Clients, prospective Clients, Visitors, and individuals who contact us. Customer Data collected by Clients on their own pages is controlled solely by the Client and Webconnex has no responsibility for that and makes no representations or warranties about a Client’s collection or use of its own data. Webconnex does not use personal information for automated decision-making as defined by the CPRA.

Webconnex collects personal information directly from individuals, through their use of the Services, through automated device and browser interactions, and from service providers acting on our behalf.
Webconnex does not sell personal information and does not share personal information for cross-context behavioral advertising. We have no actual knowledge of selling or sharing information of individuals under 16 years old.
Any information disclosed to service providers is used only to support Webconnex operations and is protected through contractual obligations.
Webconnex may disclose personal information to trusted service providers for operational, security, support, and analytics purposes. These providers may use the information only as necessary to perform their functions.

These rights do not apply to Customer Data collected by Clients on their own pages, which Clients control independently. If an attendee, registrant or ticket purchaser/holder has a request to know, delete, correct or otherwise edit their data in the possession of a Client, they must contact the Client directly, and Webconnex will not facilitate data modification requests by attendees, registrants, or ticket purchasers/holders to Clients.
Webconnex may require verification of identity before fulfilling a request. Authorized agents may submit requests on behalf of an individual if they provide valid authorization and verification documentation.
California residents may request information about Webconnex’s disclosures of personal information for direct marketing purposes. Webconnex does not disclose personal information for such purposes, but requests may be sent using the methods listed in the “How to Contact Us” section.
Webconnex may update this Privacy Policy from time to time to reflect changes in our Services, business practices, or legal requirements. When updates occur, we will post the revised version on our website and indicate the date of the most recent revision. In some cases, and where required by law, we may also provide additional notice such as email communication or in-product alerts.
Your continued use of the Services after a revised Policy becomes effective means you have read and understood the updated terms. If any change materially affects how we handle personal information, we will provide appropriate notice so Clients may review the updates before they take effect.
